Executive Assistant (President’s Office)

Position Summary:  The Executive Assistant is responsible to provide administrative support to LCC University’s President and Academic Vice President (AVP).

Duties and Responsibilities:

ADMINISTRATION
  1. Determine priority of matters of attention for the President and AVP; redirect matters to staff to handle, or handle matters personally, as appropriate
  2. Maintain weekly calendar/appointments for the President and AVP
  3. Prepare/distribute agenda; compile/publish minutes for President’s Cabinet, Strategic Planning, Academic Leadership Team meetings
  4. Follow-up and track decisions made at meetings
  5. Draft, review and send communications on behalf of the President and AVP, i.e. weekly Monday Memo from the President
  6. Coordinate travel arrangements for President and AVP
  7. Help monitor budgets and create expense reports as needed for President and AVP
  8. Support faculty with business trip and expense submissions
  9. Support the Advancement Team with monthly, semi-annual and annual donor mailings
  10. Monitor general email account to president@lcc.lt
  11. Manage office and mailbox signage for faculty members
  12. Maintain up-to-date information on the President’s Office and Academics sections of the LCC website, including current faculty bios
DOCUMENT MANAGEMENT
  1. Coordinate legal document tracking and registrations related to the President’s Office
  2. Collect and maintain institutional policies and procedures manuals
  3. Compile and publish semi-annual Board of Directors meeting docket and reports
  4. Coordinate student practicum agreements
EVENT MANAGEMENT
  1. Coordinate details for semi-annual Board of Directors meetings, i.e. board member travel and accommodations, other events and logistics related to the Board
  2. Support advancement events and hosting for the President’s Office
  3. Support major academic events, such as Convocation and Graduation, in collaboration with AVP, the Registrar’s Office and others
  4. Lead organization of Christmas Event and 100 Days Event
  5. Schedule institutional events/meetings; communicate information appropriately/timely
  6. Report President’s Office and Academic events to the Marketing Communications Office in a timely manner for pre-event publicity support
  7. Assist in the organization of academic accreditation site visits, conferences, and events
HOSPITALITY
  1. Coordinate and host institutional guest visits, including planning and scheduling events
  2. Provide a welcoming environment and professional customer service to LCC visitors
  3. Support President’s Office initiatives and perform other job-related duties as assigned

REPORTS TO:                              President and Academic Vice-President
WORKS CLOSELY WITH:            President’s Cabinet, Advancement Team, Registrar’s Office

Job Requirements:

QUALIFICATIONS:
Education:          Bachelor’s degree required
Experience:        3-5 years of administrative experience preferred

  3. Strong communication skills (oral and written) in English and Lithuanian
  4. Strong organizational skills, including organizing/editing institutional policies and document systems in MS Word
  5. Strong interpersonal skills
  6. Strong time management skills and ability to meet deadlines
  7. Ability to effectively manage multiple tasks and priorities simultaneously
  8. Ability to work cooperatively with multiple and diverse groups
  9. Superior computer skills in MS Word, Excel, Teams, PowerPoint, and Outlook Calendaring and ability to appropriately leverage AI to improve efficiency and quality of deliverables
