Student Financial Services Coordinator

Position Summary:  The Student Financial Services Coordinator supports the Student Financial Services Director in administering Financial Aid and Student Accounts processes and activities. This role ensures accurate processing, monitoring, and maintenance of student financial records while providing high-quality guidance and customer service to students.
 
Duties and Responsibilities:
 
FINANCIAL AID:
  • Review Financial Aid applications (approximately 500 per academic year) and send personalized emails regarding missing information or documents in a concise, timely manner.
  • Meet one-on-one with applicants upon request to discuss their individual Financial Aid applications.
  • Process Financial Aid applications from EU and Non-EU applicants (both prospective and current students).
  • Enter and update Financial Aid data (around 250 applications per academic year) into the main budget document and database.
  • Prepare Financial Aid decision letters (around 250 letters per academic year). 
  • Organize Financial Aid interviews. 
  • Communicate with Registrar’s office regarding student status changes affecting financial aid.
  • Prepare official financial aid orders to be signed by the university president. 
  STUDENT ACCOUNTS:
  • Charge student accounts accurately and according to approved timelines and policies.
  • Prepare financial statements and/or estimated bills for outside customers with outstanding balances as well as for current and prospective students.
  • Monitor student payments and account balances and follow up on outstanding payments in a timely manner. 
  • Coordinate and process surplus withdrawals. 
  • Answer students’ inquiries about their financial status by email, phone, and in-person.
  • Register students for Payment Schedule option and keep Payment Schedule updated.
  • Register Debt Contracts (entering charges into database).
  • Coordinate insurance process (charging student accounts, tracking payments, submitting information to Migration Office about payments).
  • Solicit, enter, and update student housing payment information.
  • Answer students’ inquiries in person and by email.
  • Enter payments in Accounts processing system.
  • Accept card payments in the office and be responsible for maintaining the SFS payment register. 
  • Calculate and process student Late Fees.
  • Prepare various types of official confirmations for students.
 MICRO LOANS & MCQUAIG DEFERRED PAYMENT PLAN:
  • Follow established schedules to inform and guide students regarding each program.
  • Process applications, entering data into existing systems.
  • Prepare contracts for each program and communicate decisions to students.
  • Collect loans or payments and balance records.
  OTHER
  • Help prepare statistical reports.
  • Maintain the official document registry.
  • Ensure proper filing and secure document storage.
  • Regularly check legal requirements for documentation in Lithuania.
  • Ensure compliance with GDPR while managing student accounts, financial aid, and other Student Financial Services programs.
  • Coordinate legal document tracking and registrations related to the President’s Office.
  • Other tasks as assigned from time to time by the Student Financial Services Director.

Qualifications needed: 
 
EDUCATION:
  • B.A. degree required.
EXPERIENCE:
  • Previous experience in Financing/Accounting preferred.
 SKILLS:
  • Extremely strong communication skills (oral and written) in English and Lithuanian; Russian preferred;
  • Superior computer skills in MS Office programs;
  • Strong time management skills;
  • Organizational skills in filing and reporting;
  • Precision and attention to details;
  • High level of customer service; 
  • Strong work ethic; 
  • Ability to handle sensitive information with confidentiality;
  • Ability to work professionally and collaboratively with students, staff, and external contacts, maintaining effective communication and a helpful attitude; and
  • Capacity to work independently and collaboratively in a fast-paced environment.
